sound familiar?
“Square and QuickBooks don't match.”
Square says one number. QuickBooks says another. Your bookkeeper keeps asking why. Here's what's usually going on, in plain English, and how I fix it.
Square
Net sales, March
$48,210.00
QuickBooks
Income, March
$51,377.42
$3,167.42 off. Where'd it go?
You might be seeing
If two or more of these are true, it's almost always the connection between the two, not your bookkeeper.
- Sales showing up twice in QuickBooks
- Deposits that never match what hit the bank
- Card fees missing, or lumped in with sales
- Tips, refunds or sales tax landing in the wrong place
- Everything got weird after the April 2026 connector update
What's actually going on
Double imports
The sync re-runs and pulls the same days in again. Your income looks great on paper and is wrong.
Gross vs. net
Square deposits money after fees. If QuickBooks records the full sale with no fee line, nothing ever ties out.
Bad mapping
Items, tips and tax are pointed at the wrong accounts during setup, often years ago, by someone who's long gone.
here's the plan
How I fix it
You keep using Square. Your bookkeeper keeps their job. I make the two agree, then show you how to check it yourself in five minutes a month.
Starter fix · priced up front $500 to $2,500 Quoted up front after a quick look. Depends mostly on how many months need cleaning up.
- Line up one month side by sideSquare, QuickBooks and the bank, every deposit.
- Find where it splitsDuplicates, missing fees, wrong accounts. Usually one or two root causes.
- Fix the connectionSettings, mapping, or a better connector if the current one can't do it.
- Clean up the backlogCorrect the months that went sideways and hand your bookkeeper clean books.
Fair questions
No. Almost always the fix is in how the two connect.
Great. I work with them. They'll be glad someone fixed the feed.
Yes. Or I'll come by, if you'd rather I sit next to you.
